| | Accounts PayableThe Finance Department Accounts Payable Section of the City of Thousand Oaks is a centralized payment processing center. Invoice payment approval is decentralized and is the responsibility of contracting City departments.
Accounts Payable Process:
Invoices ready for payment are approved by Individual City departments and forwarded to Accounts Payable for payment. Invoices received by Accounts Payable are processed weekly with checks released on Wednesday of the following week.
Taxpayer Identification Numbers:
Taxpayer ID or Social Security numbers must be provided, before payments may be made to vendors. IRS 1099 forms are issued to qualifying vendors being paid in excess of $600 for services provided annually. You may download the Taxpayer ID Number form using Adobe Acrobat Reader**.
Invoice Payment Methods:
The City of Thousand Oaks provides for vendors to be paid by check or by Direct Bill Pay (electronic funds transfer) directly to vendor checking accounts. Vendors interested in Direct Bill Pay may download the Direct Bill Authorization Form using Adobe Acrobat Reader**.
The signed form should be forwarded to Accounts Payable (address on form) with a voided check or a bank account verification form attached.
Once the authorization form is processed by Accounts Payable and one week before the payment date, the vendor will receive notification by email, mail, or both (per authorization) that the checking account number is accepted. A check will still be issued for this payment, but all future payments will be through Direct Bill Pay, until cancelled in writing.
